TransactFile (“we”) is contract-to-close workflow software for real estate transaction coordinators. This policy describes what data the service handles, how it is used, and the choices you have. The short version: your data is yours, we use it only to run the service for you, and we do not sell it or share it with anyone else.
When you use TransactFile you enter transaction information: property addresses, dates, deadlines, tasks, contact names and details for the parties on your files, notes, and fee records. This data is stored in our database (hosted by Supabase) and is visible only to the members of your own workspace. We use it solely to provide the service to you.
If you choose to connect your Google account, TransactFile accesses, with your consent granted through Google’s permission screen:
If you choose to connect a Microsoft account instead of using Gmail for email, TransactFile accesses, with your consent granted through Microsoft’s permission screen, Outlook mail: to create email drafts in your own Outlook and to send email that you personally initiate by pressing send. TransactFile never sends email on its own, and it does not read your inbox. Microsoft connection credentials (OAuth tokens) are stored server-side exactly like Google’s, and you can disconnect Outlook at any time from Settings, or revoke TransactFile’s access at account.live.com/consent/Manage (personal accounts) or through your organization’s Microsoft 365 app permissions.
Separately from Google and Microsoft, TransactFile can publish a read-only feed of your own file deadlines that your calendar app subscribes to via a private link you create in Settings; the link contains no login and can be rotated or turned off there at any time.
Google connection credentials (OAuth tokens) are stored server-side in our database and are never exposed to other users or third parties. You can disconnect Google at any time from Settings, or revoke TransactFile’s access at myaccount.google.com/permissions, which cuts off all access immediately.
TransactFile’s use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms: Google user data is used only to provide the features described above, is never sold, is never used for advertising, and is never used to train generalized AI or machine learning models.
When you upload a contract or addendum for reading, the document is processed by Anthropic’s Claude API to extract dates, parties, and terms, which are then shown to you for confirmation. Extracted values and page citations are stored; the document itself lives in your Drive. We use API settings that do not retain document content for model training.
If you join the founding list on our homepage, we store your email address and use it for exactly one purpose: telling you when TransactFile opens. It is not shared with anyone, and you can ask for it to be removed at any time.
TransactFile uses cookies only to keep you signed in. There are no advertising or third-party tracking cookies.
Your workspace data is retained while your account is active so your files and their history stay intact. You can export your data at any time. To delete your account and its data, or to ask any question about this policy, contact us at angela@masterkeytc.com and we will complete the deletion within 30 days.
If this policy changes in a way that matters, the effective date above will change and active customers will be told directly.
